How we collect, use, protect, and share information when you use Magnify Call Accounting.
Effective date: June 7, 2026
Magnify Call Accounting ("Magnify," "the Service," "we," "us," or "our") is a product of Brain Herd Software. We respect your privacy and are committed to handling your information responsibly. This Privacy Policy explains what information we collect, how we use it, the limited circumstances in which we share it, and the choices and rights you have. By creating an account or using the Service, you agree to the practices described here.
This policy applies to the people and businesses that subscribe to and use Magnify (our "customers"), the individuals our customers authorize to access their accounts ("users"), and visitors to our marketing website. Magnify is a business tool sold to organizations. If you are an employee or contractor of a customer, your employer is responsible for the call records it processes through the Service, and questions about that data should be directed to your employer in the first instance.
When you register, we collect the information needed to create and administer your account — such as your name or company name, email address, and a securely hashed password. We never store passwords in plain text.
The core purpose of Magnify is to organize and report on the call records produced by your phone system. The Call Collector you install on your network reads the SMDR/CDR output of your PBX and securely uploads those records to the Service. Depending on your phone system and configuration, these records may include the date and time of a call, its duration, the calling and called numbers (which may include full or partial phone numbers), the extension involved, the call direction, trunk or line identifiers, DID/DNIS numbers, and account or authorization codes. Magnify processes this data on your behalf so that you can run reports, costing, alerts, and analytics on it. We treat call records as confidential customer data.
If you subscribe to a paid plan, payment is processed by our third-party payment processor. We receive limited billing details such as your plan, billing contact, and the status of your subscription. We do not store full payment card numbers on our own systems.
Like most online services, we automatically collect basic technical information when you use Magnify — for example your IP address, browser type, device and operating system, pages or features accessed, and timestamps. We use this to operate, secure, and improve the Service. To help us diagnose and improve the AI assistant, we may also log the questions you submit to it and the system's internal handling of those questions (see "AI assistant" below).
We use a small number of cookies and similar browser technologies that are necessary to keep you signed in, maintain your session, and remember your preferences. We do not use third-party advertising cookies, and we do not sell your data to advertisers.
We do not sell your personal information or your call records, and we do not use your call records to build products for anyone other than you.
Magnify includes an AI assistant that lets you ask questions about your call data in plain language. When you use it, your question is translated into a query that runs against your own call data, and the result is returned to you. To diagnose problems and improve the assistant's quality, we may log the conversation — including your messages, the assistant's responses, and the internal steps it took to produce an answer (such as the queries it generated). These diagnostic logs are used internally by Brain Herd Software to maintain and improve the Service and are subject to the same protections as your other data. We do not use your call records to train third-party public AI models.
We share information only as needed to operate the Service and as described below. We do not sell personal information.
We use industry-standard safeguards to protect your information, including encryption of data in transit, encrypted storage, logical isolation of each customer's data, hashed passwords, and access controls that limit who can reach your data. The Call Collector buffers records locally and uploads them over an encrypted connection. No method of transmission or storage is perfectly secure, but we work continuously to protect your information and to respond promptly to any incident.
We retain your call records for as long as your account is active and according to the data-retention window of your plan. Account and billing records are retained as long as needed to provide the Service and to meet our legal and accounting obligations. If you cancel, we retain your call data for a limited period (typically 30 days) so you can change your mind, after which it is deleted or anonymized. You may request earlier deletion as described below.
Depending on where you are located, you may have rights to access, correct, export, or delete personal information we hold about you, and to object to or restrict certain processing. Because much of the data in Magnify belongs to our customers, if you are an authorized user of a customer's account we will generally direct such requests to that customer (the data controller). To exercise a right or make a request, contact us using the details below. We will respond within the time required by applicable law. You may also unsubscribe from non-essential emails at any time using the link in those messages.
Magnify is a business product and is not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us information, please contact us and we will delete it.
Magnify is operated from the United States, and your information may be processed and stored in the United States or other countries where we or our service providers operate. By using the Service, you understand that your information may be transferred to facilities and service providers in those locations.
We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date above and, where appropriate, notify you through the Service or by email. Your continued use of Magnify after an update means you accept the revised policy.
If you have questions about this Privacy Policy or how we handle your information, please reach out through our Contact page. Magnify Call Accounting is a product of Brain Herd Software.
